Send a closed placement into the client HR system of record

Rippling is an HR system of record as well as an employment vehicle, which changes what a handoff from recruitment software is actually for.

This integration is on the roadmap and is not connected today. When it ships, a closed placement in Surhires will be able to create a draft new-hire record in Rippling with identity, role, start date and compensation prefilled. Surhires remains recruitment software and is not an HRIS.

Nothing is built yet. There is no Rippling connection in the product, no partnership, no listing and no certification. This page sets out what is planned so that a buyer can plan around it instead of discovering the gap during implementation.

The label in the product will match the label here. If it says Roadmap, it means a recruiter cannot click anything today, and the manual path further down this page is the real answer for now.

An HRIS handoff is a different shape from an EOR handoff

The employer of record providers solve a legal problem: someone has to be the employer in a country where the client has no entity. An HR system of record solves an operational one: once a person is hired, their employment data has to live somewhere that payroll, benefits, devices, access and reporting all read from.

Rippling spans both. That means a handoff into it is usually not the end of a cross-border edge case but the ordinary end of a hire, including hires in countries where the client already has an entity. The volume is different, and so is the audience: the recipient is usually a people operations team rather than a finance contact managing an EOR contract.

For recruitment software the consequence is simple. The interesting field set is wider than an EOR onboarding form, because a system of record wants a department, a manager, a location, a start date and an employment type, not just enough to draw up a contract.

What the planned push carries

The planned behaviour is a one-way push at placement close, creating a draft new-hire record for a people operations reviewer rather than an active employee. Draft matters. An HRIS record that goes active provisions accounts, starts benefit eligibility clocks and can trigger payroll, and none of that should happen because a recruiter moved a card.

  • Legal name, preferred name and personal contact email
  • Job title, department and reporting manager from the requisition
  • Work location and whether the role is remote, hybrid or on site
  • Start date, employment type and probation or guarantee period where recorded
  • Compensation, currency and pay frequency as agreed on the offer
  • Recruitment source and the recruiter or desk credited with the placement

What does not come back into the CRM

Once a person is an employee, most of what happens to them is none of a recruitment system's business. Payroll runs, benefits elections, device assignments, app provisioning, performance records, compensation changes and time off will not be synced back into Surhires. There is no recruitment workflow that needs them, and holding them would widen the blast radius of a CRM breach for no return.

The narrow exception under consideration is a start confirmation and a leaver signal, because both are directly relevant to recruitment. A confirmed start closes out the guarantee window tracking on a placement. A leaver inside that window is the event an agency needs to know about immediately, because it is the difference between a booked fee and a rebate.

Why the guarantee window is the part worth wiring

For a contingent agency, a placement is not revenue until it survives the guarantee period. Most desks track that period in a spreadsheet and find out about a drop-out from an awkward phone call. A leaver signal from the client system of record turns that into a dated event on the placement record.

Surhires already tracks placements inside a guarantee window on the pipeline dashboard, and the roadmap value of this integration is mostly that it makes those flags accurate rather than estimated. That said, whether a client is willing to share leaver data with their recruitment supplier is a commercial conversation, not a technical one. Some will. Many will not, and the integration has to work without it.

The manual path that works in the meantime

Today the handoff is an export or a copy from the placement view into whichever HR system the client runs, and for most agencies the client does it rather than the agency. What you can do now is make the export complete: capture department, manager, work location and employment type on the requisition rather than in the offer email, so the fields a people operations team asks for already exist as data.

For guarantee tracking, set the guarantee window on the placement at close and let the pipeline dashboard surface at-risk placements. Confirm starts by asking, not by assuming. It is manual, it takes a few minutes a week, and it is more reliable than a connector nobody has built yet.

Questions recruiters ask

Is the Rippling integration connected today?

No. It is on the roadmap and nothing is built. Today the handoff is manual: export the placement or work from the placement view, and let the client create the new-hire record in their HR system. Capturing department, manager, location and employment type at requisition stage makes that export complete rather than partial.

Is Surhires an HRIS?

No. Surhires is recruitment software and applicant tracking system. It handles sourcing, submittals, interviews, offers, placements and your own invoicing. It does not run payroll, hold benefits elections, manage devices or store employee performance records. The HR system of record does those things, and a hire should land there once.

Why does Rippling get a different page from Deel and Remote.com?

Because the handoff is a different shape. An employer of record handoff solves the entity problem for one hire in one country. An HR system of record receives every hire, including domestic ones, and asks for a wider field set: department, manager, work location and employment type as well as the contract essentials.

Would leaver data flow back to us?

Only if the client agrees to send it, and many will not share employment events with a recruitment supplier. Where it is shared, a leaver inside the guarantee window is the single most useful signal an agency can receive, because it decides whether a placement fee stands or a rebate is due. The integration is designed to work without it.

Will payroll or benefits data appear in the CRM?

No. Pay runs, benefits elections, device assignments, time off and performance records will not be synced into Surhires. No recruitment workflow needs them, and holding a copy would expand what a breach of a recruitment system exposes. The handoff is deliberately one-way for everything except a narrow start and leaver signal.

How do we track the guarantee window until this ships?

Set the guarantee period on the placement when it closes, and the pipeline dashboard surfaces placements sitting inside that window alongside the revenue they represent. Confirm the start with the client rather than assuming it. That is a short weekly routine and it is more accurate than an integration that does not exist yet.
