In buildBook interviews against real panel availability
The Google Calendar connector is in active build for Wave 1 and is not connected today; it will feed the interview scheduler with real panel availability.
The Google Calendar integration is in development for the Wave 1 release and is not connected today. It will feed the interview scheduler that already ships, reading panel free and busy time, holding proposed slots until a candidate confirms, updating a single event on reschedule, and resolving time zones correctly.

In the product: in build for Wave 1, feeding the shipping interview scheduler
State of this integration
The interview scheduler itself already ships: stage-driven scheduling, candidate self-select, reminders and structured feedback are part of the product today. What is in build is the calendar connection that makes the availability real rather than typed in.
Until the connector lands, slots are proposed from availability a recruiter or a panel member enters, which works and is how a great many desks operate, but it is manual and it goes stale. The connector removes that step. It is in development for Wave 1 and is written here in the future tense.
Free and busy, not calendar contents
The connector will read free and busy information for the panel, which is the availability layer Google exposes without disclosing what the meetings are. A recruiter proposing a slot needs to know a block is taken; they do not need to know it is a one-to-one about somebody's performance review.
For interviews organised by Surhires, the event details are ours to write, so the interview event carries the requisition, the candidate reference and the join link. For everything else on a panel member's calendar, the product sees a busy block and nothing more.
That distinction is what makes panel members willing to connect a calendar at all, and it is worth being explicit about before anyone is asked for consent.
- Panel availability read as free and busy blocks, not as meeting subjects
- Interview events written by Surhires carry full context and the join link
- Panel members can connect or disconnect their own calendar at any time
- A panel member who has not connected falls back to entered availability
Held slots stop the double-booking race
The failure everybody has lived through: three slots are offered to a candidate, the candidate takes two days to answer, and by then two of the three have been filled by other meetings. The candidate picks the one that is already gone.
Proposed slots will be held on the panel calendars as tentative entries for a configurable window while the candidate decides. When the candidate confirms, the chosen slot converts to a confirmed interview and the other holds are released immediately. If the window expires, all holds are released and the recruiter is told rather than the candidate being sent to a dead slot.
The hold duration is configurable per requisition, because a two-day hold is reasonable for an executive panel and absurd for a volume contract desk booking screens for tomorrow.
Reschedules update one event
A rescheduled interview will move the existing calendar event rather than creating a second one. Every attendee sees the change on the event they already have, the candidate confirmation is reissued against the same interview record, and the join link stays valid.
This sounds trivial and is the single most common source of interview chaos. Systems that cancel and recreate leave attendees holding two invitations, one of which still looks live, and panel members turn up to the wrong one.
Cancellation withdraws the event from every attendee, releases any related holds, and records the reason against the interview so the pipeline slip is attributable rather than mysterious.
Time zones handled properly, not hopefully
Time zones are where scheduling software quietly fails. A recruiter in London books a candidate in Bengaluru for a panel spread across New York and Sydney, in a week where one of those regions has just changed its clocks and another never does.
The connector will resolve every participant's zone from their calendar rather than assuming the organiser's, store the event against an absolute instant, and render each participant's local time in the invitation and reminder they receive. Daylight saving transitions are resolved at render time, so an interview booked in February for April shows the right April time.
Where the candidate's zone is unknown, they are asked rather than guessed at, and the interview record carries the zone that was used so a mismatch is diagnosable after the fact.
Reminders, and the channel the candidate agreed to
Interview reminders will go out at a configurable interval before the slot, through the channel the candidate has opted into. For an India-market desk that will usually be WhatsApp, which is live today; elsewhere it is email or SMS.
Panel reminders follow the calendar, since panel members live in it, with an in-product task for the recruiter if a confirmation has not come back inside a threshold. A no-show is recorded as a disposition rather than as a gap, so the pattern is visible if it repeats with a particular client.
What this connector will not do
It will not read the contents of your calendar events, sync your personal appointments into the product, or write anything to your calendar other than the interviews it organises and the holds it places.
It will not be the only way to schedule. A desk that cannot or will not connect calendars continues to schedule from entered availability, and a mixed panel where two members are connected and one is not is handled rather than blocked.
What you get
Panel free/busy
Availability read as busy blocks without exposing what any meeting is about.
Slot proposal
Candidate-facing options generated from the intersection of panel availability.
Tentative holds
Proposed slots held on panel calendars while the candidate decides.
Configurable hold window
Hold duration set per requisition, from hours for volume desks to days for search.
Automatic hold release
Unchosen holds released the moment the candidate confirms, or when the window expires.
Single-event reschedule
A moved interview updates the existing event rather than issuing a second invitation.
Clean cancellation
Withdrawal removes the event from every attendee and releases related holds.
Absolute time storage
Events stored as an instant, so daylight saving changes never shift a booked slot.
Per-participant local time
Every invitation and reminder renders in that person's own zone.
Zone on the record
The zone used is stored on the interview, so a mismatch can be diagnosed afterwards.
Candidate reminders
Sent at a configurable interval through the channel the candidate opted into.
No-show dispositions
A missed interview is coded rather than left as an unexplained gap in the pipeline.
Mixed panels supported
Connected and unconnected panel members can appear on the same interview.
Write-limited access
The connector writes only the interviews it organises and the holds it places.
Questions recruiters ask
Is calendar sync working today?
No. The interview scheduler ships today, but it works from availability that is entered rather than read from a calendar. The Google Calendar connector is in build for Wave 1 and will feed that scheduler with real panel free and busy data. Until it lands, scheduling is manual but functional.
Will you be able to see what our meetings are about?
No. The connector reads free and busy blocks, which tell it a period is unavailable without disclosing the subject, the attendees or the notes. Only the interview events Surhires itself creates carry full detail, because those are ones the product wrote.
What stops a candidate picking a slot that has since been taken?
Proposed slots will be held on the panel calendars as tentative entries for a configurable window. Confirming one releases the rest immediately. If the window expires before the candidate answers, every hold is released and the recruiter is told, rather than the candidate confirming into a slot that no longer exists.
How are time zones handled?
Each participant's zone is resolved from their calendar rather than assumed from the organiser, the event is stored as an absolute instant, and every invitation renders in the recipient's local time. Daylight saving transitions are resolved at render, so an interview booked in February for April shows the correct April time.
Do all panel members have to connect a calendar?
No. A panel member who has not connected falls back to entered availability, and a mixed panel is supported rather than blocked. Calendar connection is per person and can be revoked at any time from the Google account, which stops the reading without disturbing interviews already booked.
Will it sync my personal appointments into the CRM?
No. Nothing from your calendar is copied into the product. The connector reads availability and writes the interviews it organises plus the temporary holds it places, and it writes nothing else. Personal appointments remain a busy block and nothing more.
